1. Definitions
In these terms: "we", "us", "our" refers to Motorhome Hire Scotland, operated by MD Dale's Ltd. "You", "the hirer" refers to the person named on the booking. "Vehicle" refers to the motorhome hired. "Hire period" refers to the dates stated on your booking confirmation.
2. Booking & Payment
- A booking deposit of 25% of the total hire cost is required at the time of booking to secure your reservation. The booking deposit is non-refundable.
- The remaining balance is due no later than 42 days before the hire start date.
- For bookings made within 42 days of the hire date, full payment is required at the time of booking.
- All prices are in GBP and inclusive of VAT where applicable.
3. Security Deposit
- A refundable security deposit of £1,200 is required and will be held for the duration of the hire.
- The deposit is taken as a pre-authorisation on your credit or debit card 3 days prior to collection.
- Subject to no damage, the deposit will be released within 7 days of the vehicle being returned and inspected.
- Any damage, excessive cleaning, or breach of these terms may result in partial or full retention of the deposit.
4. Cancellation Policy
- More than 42 days before hire: the booking deposit is forfeit; any balance already paid is refunded.
- Less than 42 days before hire, or failure to collect the vehicle: the full hire charge is forfeit (booking deposit plus all balance paid).
- We strongly recommend that you take out appropriate travel insurance to cover cancellation.
5. Driver Requirements
- The hirer must hold a full, valid UK or EU driving licence for at least 3 years.
- All drivers must be aged 29 to 70 years old.
- Drivers with more than 6 penalty points may not be eligible to hire.
- All drivers must be named on the booking and must be present at collection for identification.
- All drivers must be of good health and fit to drive a vehicle of this size.
6. Collection & Return
- Collection and return is from our base in Stranraer, Dumfries & Galloway, South West Scotland. The exact address will be provided with your booking confirmation.
- Standard collection is Friday from 3:00 PM. Standard return is Friday by 11:00 AM, unless otherwise agreed.
- A full vehicle handover will be provided at collection, covering all controls, systems, and equipment.
- Late returns may incur an additional charge of up to a full day's hire rate.
7. Mileage
- Each hire includes 100 miles per day.
- Excess mileage is charged at £0.35 per mile.
- For example, a 5-day hire includes 500 miles total.
8. Fuel
- The vehicle will be provided with a full tank of fuel.
- The vehicle must be returned with a full tank. If the tank is not full on return, we will refuel and charge the cost plus a £25 refuelling fee.
- Both vehicles run on diesel only. Misfuelling is the hirer's responsibility and any resulting damage is not covered by insurance.
9. Gas & Consumables
- One bottle of gas and toilet chemicals are included with each hire.
- Additional gas or chemicals required during the hire are at the hirer's expense.
10. Bedding & Towels
- Bedding and towel sets are available at £40 per double set per hire.
- No single sets are available.
- Please request bedding at the time of booking.
11. Pets
- Both motorhomes are pet friendly. A pet supplement of £50 applies per hire, covering up to 2 small dogs or 1 medium/large dog.
- Pets must not be left unattended in the vehicle at any time.
- Pets must not be allowed on soft furnishings or beds.
- The hirer must bring their own pet bedding, bowls, and towels.
- The vehicle must be returned free of pet hair. Excessive cleaning required due to pets may be deducted from the security deposit.
12. Travel Restrictions
- The vehicle must remain on the UK mainland at all times.
- Travel to Northern Ireland or abroad is not permitted.
- The vehicle may be taken on UK mainland ferries (e.g., to Scottish islands) with prior notification.
- No off-road driving is permitted under any circumstances.
13. Parking & Overnight Stops
- Motorhomes do not have a right to roam. Scotland's right to roam applies to people on foot, not vehicles.
- You may park wherever motorhomes are permitted, including campsites, certified locations, and by arrangement with landowners.
- Do not block gates, passing places, or access routes.
- Any parking fines or penalties incurred during the hire are the hirer's responsibility.
14. Use of Vehicle
- All vehicles are strictly non-smoking. A deep cleaning charge of £250 will be applied if evidence of smoking is found.
- The vehicle must not be used for any illegal purpose.
- The vehicle must not be driven off-road, on beaches, or on unmetalled tracks beyond those suitable for a motorhome.
- The vehicle must not be sub-let or driven by any person not named on the booking.
- Maximum vehicle weight is 3,500 kg. Do not overload the vehicle beyond its stated payload capacity.
15. Insurance
- The vehicle is fully insured for the named drivers during the hire period.
- Insurance covers third-party liability and comprehensive damage subject to the security deposit excess.
- The hirer is responsible for the first £1,200 of any damage claim (the excess/security deposit).
- Insurance does not cover: misfuelling, tyre damage from kerbing, overhead damage from low bridges, damage caused by negligence, or damage while driven by an unauthorised driver.
- Any accident or incident must be reported to us immediately. Do not admit liability at the scene.
16. Damage & Condition
- A condition report will be completed jointly at collection and return.
- The hirer is responsible for any damage not recorded on the outgoing condition report.
- Please report any mechanical issues or damage as soon as they occur during the hire.
- The vehicle must be returned in a reasonably clean condition, both inside and out. An excessive cleaning fee of up to £100 may be deducted from the deposit if required.
17. Breakdown & Emergencies
- Both vehicles are covered by breakdown assistance for the duration of the hire. Details will be provided at handover.
- In case of breakdown or accident, contact us immediately on the number provided.
- Do not authorise any repairs without our prior consent.
18. Liability
- We are not liable for any loss or damage to personal belongings left in the vehicle.
- We are not liable for any indirect losses, including but not limited to: loss of holiday enjoyment, travel costs, accommodation costs, or consequential loss arising from mechanical breakdown or accident.
- Our total liability is limited to the hire cost paid.
19. Data Protection
We collect personal information necessary to process your booking and manage the hire. Your data will not be shared with third parties except where required for insurance or legal purposes. We comply with UK GDPR requirements.
20. Governing Law
These terms and conditions are governed by the laws of Scotland. Any disputes shall be subject to the exclusive jurisdiction of the Scottish courts.
21. Changes to Terms
We reserve the right to update these terms at any time. The terms in effect at the time of your booking will apply to your hire.
